01Information we collect

When you book, complete a form, contact us or rent equipment, we collect the details needed for the service: your name, email, phone number, rental dates, booking details, payment records and correspondence. Equipment preparation and fitting may also require your height, weight, shoe size, clothing size and skiing or snowboarding experience.

We request birth date, gender, nationality or other identification details only when needed for a booking, age check or insurance you select, and explain why. Hotel details are used for requested services. Do not send full card details, passport copies or medical records through general enquiry forms; we will explain an appropriate submission method if needed.

02How we use information

We use information to handle bookings and enquiries; prepare and fit equipment; arrange collection and returns; process payments and refunds; communicate changes; and handle loss, damage, complaints and disputes. We also use it for transport, hotel services or insurance you request, recordkeeping obligations, preventing misuse and analysing service use to improve our services.

We complete legally required notice and consent procedures before collecting specially protected sensitive information or using data for a new, unrelated purpose.

03Rental system and order information

We use Booqable’s rental management system. The order information you provide for a rental booking is stored in Booqable and used to manage reservations, prepare equipment and arrange collection and returns. Booqable processes this information on our behalf under the relevant data processing agreement. Please contact IFC directly to request access, correction or deletion of your information.

04Service providers and sharing

We may entrust necessary processing to booking, payment, hosting, customer support and delivery providers. We supervise them appropriately and require use within the entrusted purpose.

If an independent transport operator, insurer or booking platform needs information for a service you request, we explain the purpose and obtain consent where required. We may disclose information as permitted by law, including qualifying emergencies. We do not sell personal information.

05Data security

We apply organisational, personnel, physical and technical measures appropriate to our operations and data, including access restrictions, staff guidance, document and device controls, and provider supervision. These measures reduce risks of unauthorised access, loss, disclosure and misuse. For legally reportable incidents, we notify the authority and affected individuals as required.

06Data retention

We retain information only as needed for its collection purposes, legal obligations and reasonable dispute handling, then appropriately delete it or make it no longer identify an individual.

07Marketing communications

With customers’ consent, the Company may send information about offers, events and travel products by email or other contact methods.

Customers may stop receiving marketing communications at any time by using the unsubscribe function in marketing emails or contacting the Company. Opting out will not affect confirmed bookings or essential trip notifications.

08Your rights and requests

Within the scope of Japanese law, you may request notification of purposes, access to retained personal data or relevant third-party disclosure records, correction or supplementation, suspension of use, deletion or cessation of third-party disclosure. You may also request withdrawal of consent for processing based on your consent.

Use the contact details below, stating your request and how to reach you. We may verify your identity or authority and will respond without undue delay as required by law. We explain any lawful refusal in whole or part. For requests where a fee is legally permitted, we explain its amount and basis before processing. The same contact accepts privacy enquiries and complaints.

09Information about minors

A parent or legal guardian should consent to information provided or bookings made for a minor where legally required. If providing someone else’s details, obtain appropriate authority and make this policy available to them.

This website may link to LIYI TRIP and other websites where you can browse related services and information. The LIYI TRIP website is also operated by the Company, and personal information collected through that website is likewise managed by us.
